The Torrevieja u3a has a legal duty to maintain a Data Protection Register. This is met by ensuring that a signed copy of this form is submitted to the u3a from those members who process, store, use and delete members’ personal data i.e. Committee Members, Advisors, Group Leaders, Event organisers, Email Marketing Tool Provider and Website host.

The data is used by them for the specific purpose of contacting members with information about events and group activities, sending notices, newsletters and updates and other matters concerning the Torrevieja U3A.

Everyone in receipt of personal data shall comply with the handling and use requirements for personal data set out below and in the Torrevieja u3a Data Protection and Privacy Policies available on our website torreviejau3a.org.

You must not:

1. Supply a copy of the data to any other person or organisation.
2. Disclose the information contained in it to any other person or organisation.
3. Use the information other than for the purpose that it has been given to you.

You must:

1. Hold the data securely i.e. strong password protection and provide for its secure deletion on request.
2. Delete the data when it is no longer required.

If you are found in breach of the above requirements there may be constitutional and legal consequences for you.

You should note that:

1. It is a criminal offence, without authorisation, to disclose or to sell members’ personal data or to use it for an unauthorised purpose.
2. If you are in breach of the rules of good information handling e.g. you collect personal data for one purpose but use it for another, you may be liable to a claim for compensation from a person whose personal data you have misused. 
3. In line with the Torrevieja u3a’s commitment to data protection, a member who uses personal data contrary to the requirements set out above shall be subject to the disciplinary rules and procedures of the Torrevieja u3a.
